Job Posting: TSA Administrator

The Toronto Society of Architects is seeking an Administrator to support the day-to-day operations of our Society. Working closely with the Executive Director, you will provide administrative, clerical and communications support, assisting on a variety of tasks like membership management, governance activities and finance administration. This position is a great fit for someone looking to immerse themselves into the operations of a small, mission-driven non-profit organization, gaining hands-on experience in the behind-the-scenes work that makes everything possible. We are a small, tight-knit team and you will have the opportunity to be involved in, gain experience and meaningfully contribute to many aspects of our organization.

Work hours are flexible and will mostly be done remotely. Attendance to additional in-person events and key meetings throughout the year will be required and these will be scheduled in advance. Meetings are held in downtown Toronto. Due to the nature of our volunteer committees and board, some evening meetings are required.

 

Compensation, Hours and Duration

  • Job Type: Full-Time, 35 hours a week.
  • Schedule: Work hours are typically 9:30AM – 5:30 PM, but hours are flexible. Some limited evenings and weekends required. (approximately 1 a month).
  • Hourly Wage: $27.70
  • Benefits: Comprehensive health insurance plan including medical, prescription drugs, dental, and vision coverage with dependent coverage (70% employer contribution)
  • Vacation: 2 weeks, plus annual year-end break between Christmas and New Year’s Day.
    Location: Remote 3-4 days a week, with 1-2 in-person days at the Centre for Social Innovation (192 Spadina) or other downtown location. Attendance to limited in-person events and meetings required.
  • Start Date: March 16 or sooner upon mutual agreement.

 

What you will be doing

You will be supporting the day-to-day operations of our Society, including:

  • Manage the TSA’s primary inbox, including reviewing all incoming messages, responding to member and public inquiries on a variety of issues including events, membership and others, or delegating to the appropriate team member.
  • Membership management activities, including answering inquiries, processing memberships and keeping the database up to date.
  • Support the Executive Director in governance and administrative responsibilities, including preparing reports, presentations, supporting materials, and agendas, scheduling Executive meetings, and recording minutes.
  • Monthly financial clerical tasks, including generating, sending and tracking invoices, sorting and uploading monthly receipts, preparing bank deposits, tracking sponsorship renewals, and coordinating with the TSA’s accounting and bookkeeping team.
  • Maintenance of the TSA website, including updating existing pages, uploading content, and participating in the development of new components.
  • Coordinate the TSA’s bi-weekly e-bulletins including preparing drafts for reviews and updating stories and entries.
  • Coordinate our scholarship program, liaising with schools for renewals and tracking of recipients.
  • Provide programming administrative support when required, this may include assisting with TSA event postings on the website, setting up registration pages, and issuing certificates of attendance.
  • On occasion, provide day-of event support for large events.

  • Ability to adapt to a changing environment and handle multiple competing priorities
  • Able to work independently to meet deadlines
  • A collaborative team player who will pitch in to make sure things get done
  • Strong computer skills and the ability to learn new software platforms as needed
  • Previous experience with QuickBooks, WordPress, Google Workspace, Adobe Creative Cloud, MailChimp, and membership management systems are a plus, but not required (we’ll teach you!)
  • Previous secretariat experience preparing agendas, minutes, etc. a plus
