Job Posting: TSA Programming Administrator

The Toronto Society of Architects is currently seeking a Programming Administrator to support our diverse initiatives and events. Working closely with the Programming Coordinator and Initiative Leads, you will provide administrative, logistical and communications support to a wide variety of initiatives which include a mix of in-person and virtual events. Our current programming roster includes lectures, tours, networking events, social gatherings, and diverse public programming. Work hours are flexible and will mostly be done remotely. Due to the nature of some of our initiatives, attendance to in-person events and some evening and weekend hours are required. These requirements will be scheduled in advance.

Compensation, Hours and Duration

  • Job Type: Full-Time, 35 hours a week.
  • Schedule: Work hours are typically 9:30AM – 5:30 PM, but hours are flexible. Some evenings and weekends required (approximately 4-5 a month with some season variation).
  • Hourly Wage: $27.70
  • Benefits: Comprehensive health insurance plan including medical, prescription drugs, dental, and vision coverage with dependent coverage (70% employer contribution)
  • Vacation: 2 weeks, plus annual year-end break between Christmas and New Year’s Day.
  • Location: Remote 3-4 days a week, with 1-2 in-person days at the Centre for Social Innovation (192 Spadina) or other downtown location. Attendance to some in-person events/meetings required.
  • Start Date: March 16 or sooner upon mutual agreement.

What you will be doing

You will be supporting the implementation of our initiatives and programs, including:

  • Provide back-end support for virtual and in-person TSA programs such as the setup and maintenance of event web pages; management of attendee registration; and assisting in the coordination of venues and supplies; among other tasks.
  • Attend and provide day-of support for in-person events, including attendee check in, supply transportation, and event setup and takedown.
  • Manage proof-of-attendance for our professional continuing education offerings, including confirming attendance, and preparing and issuing certificates.
  • Administer on-demand resources, including uploading new content to our Past Lectures Library and On-Demand Learning Platform, and updating entries in our Guide Map.
  • Coordinate private tour requests for both corporate groups and school groups.
  • Update internal tracking documentation for event attendance and performance.
  • Attend select committee meetings and participate in the programming development.
  • Provide clerical support for initiative and programming meetings, including taking minutes, preparing presentations and speaking notes, and scheduling meetings.
  • On occasion, provide support for general administrative tasks of the Society, including managing the TSA’s primary inbox, answering questions from the membership and attendees, and basic financial tasks like sorting and processing receipts.

 

For the right candidate, there is the opportunity to get more involved in research and development for programs such as tours and our guide map. Similarly, for the right candidate there are opportunities to get more involved in graphic production, video editing, and social media posting.

  • A collaborative team player who will pitch in to make sure things get done
  • Strong communication skills, both written and oral
  • Strong computer skills and the ability to learn new software platforms as needed
  • An interest in architecture, the built environment and advocacy
  • Previous education in architecture or related field is a plus but not required
  • Previous experience with Eventbrite, WordPress, Google Workspace and the Adobe Creative Cloud is a plus
  • G Driver’s License and comfortable driving in Toronto is a plus
